Overtime charges will apply for move-in all day on Saturday and Sunday.

All empty crates will be removed by 5:00 p.m. on Sunday, May 19 to allow for the laying of carpet and completion of exhibit hall preparation.

Please note: No one under the age of 16 will be admitted in the exhibit hall during published Move-in, Show, or Move-out hours. No exceptions.

NOTICE: Any booth not occupied by 3:00 p.m. on Sunday, May 19 will be considered abandoned (unless show management has been otherwise notified) and will be forfeited by the exhibitor, and such space may be carpeted into a lounge, resold to a company on the waiting list (if applicable), or otherwise assigned by AIHA, without any refund of any payment to the exhibitor by AIHA. If there is a display in the booth and Freeman has to set up the booth or “force the carpet.” the exhibitor will be responsible for the cost incurred by show management.

Dismantling and Move-Out Hours (subject to change)

  • Wednesday, May 22: 1:00 p.m. – 9:00 p.m.*

*Empty crates and cartons will be returned after all aisle carpet is rolled up and collected.

Overtime charges will apply for move-out after 4:30 p.m. on Wednesday.

NOTICE: No exhibits or displays can be dismantled before the official close of the show on Wednesday, May 22, at 1:00 p.m. Exhibitors dismantling booths before 1:00 p.m. forfeit ALL priority points accumulated for the next selection year*.

*If the exhibitor has already pre-selected space, the booth will be released and re-sold to another company. The exhibitor can then select a new location when space opens for general sale in July 2019.

Exhibitor Badg​es

All complimentary badges allotted to confirmed exhibitors are contingent on the exhibitor using AIHce EXP-contracted hotels and booking through the AIHce EXP Housing Bureau*.

Exhibitors using AIHce EXP contracted hotels and booking through the AIHce EXP Housing Bureau will receive an unlimited number of complimentary booth personnel badges until May 1, 2019** and an allotment of complimentary full conference badges based on booth size (2 for 10x10 booth, 3 for 10x20 booth, and 4 for 300+ square feet).

*Exhibitors who are local to the Minneapolis area or are using local offices to staff their booths and do not require hotels rooms will have the option to enter a local zip code during the registration process and have this stipulation waived.

**After May 1, 2019, all booth personnel badges are $200 per badge.

Beware: Be cautious if dealing with any housing companies or services that imply or claim an affiliation with AIHce EXP other than Experient, the official AIHce EXP housing company. Be vigilant when dealing with an unauthorized travel company as many are not legitimate companies and most do not deliver as promised. Reservations made through an agency other than Experient will be at your own risk. We recommend reviewing the list of Official AIHce EXP Publications and Contractors​ before responding to any solicitations you may receive.

Hanging Signs

Hanging signs are permitted in island booths only.

Insurance and Liability Req​uirements

Please refer to Sections 5 and 24 of the AIHce EXP 2019 Exhibitor Terms and Conditions for details regarding Insurance and Liability.

As a standard requirement for all exhibitors, it is necessary to provide proof of general liability insurance coverage from an insurance company in good standing with minimum policy limits of $1,000,000 per occurrence. Proof of insurance is required by April 24, 2019.

For those exhibitors who do not have liability insurance, there will be an option to purchase it for the show dates via the Exhibitor Service Kit.
